The Role

The Operations Administrator is the operational backbone of Alpine. You'll manage scheduling for our Plant Health Care department, handle client invoicing, and keep the office running smoothly so our crews in the field can focus on the work.

This role is for someone who thrives on organization, accuracy, and keeping a lot of moving pieces aligned. The crews depend on you to set them up for success — and the clients depend on you for clear, professional communication and accurate billing.

What You'll Do

As Alpine's Operations Administrator, you'll be responsible for:

  • Scheduling Plant Health Care services and routes for technicians

  • Managing client invoicing, follow up on accounts receivable, and process payments

  • Coordinating with Sales Arborists, Crew Leads, and field crews on scheduling and job updates

  • Managing municipal permits for tree removals

  • Maintaining accurate records in CRM and accounting systems

  • Supporting office operations: supplies, vendor coordination, general administration

  • Communicating with clients on scheduling, payment, and service questions

Alpine's Operations Administrator isn't a back-office role — it's a critical operations role. Here's what that looks like in practice:

  • Actively Seek Knowledge: You stay sharp on the systems, software, and processes that keep Alpine running. When something changes — a new municipal permit requirement, a software update, a new service offering — you're the one who learns it first and brings the team up to speed.

  • Think Ahead to Solve Problems: You flag scheduling conflicts before they hit. You catch invoicing errors before they go out. You anticipate the questions clients are going to ask and have the answers ready. The crews and Sales Arborists count on you to spot issues they might’ve otherwise missed.

  • Be Adaptable: No two days look the same. A crew gets rained out, a client calls with a change, an invoice needs to go out faster than expected. You shift priorities without losing track of what's already in flight.

  • Loyalty to the Team: You set the field crews up to succeed. You make sure Sales Arborists have what they need to close work. You communicate clearly with everyone — office, field, and clients — and you don't let things fall through the cracks.

  • Have the Motivation to Be the Best: Accuracy and follow-through are the bar. Invoices go out clean. Schedules are tight. Client communication is professional and on time. The work you do reflects on every other part of Alpine.

Qualifications

This role is for someone with proven office operations experience and the discipline to manage multiple priorities at once.

  • 2+ years experience in office administration, operations coordination, or a similar role

  • Strong organizational skills and attention to detail

  • Excellent written and verbal communication

  • Proficient with QuickBooks (or equivalent accounting software)

  • Comfortable with CRM systems and general office software

  • Ability to manage multiple priorities simultaneously

  • Professional demeanor with clients and team

  • English proficiency

  • Authorized to work in the United States

Preferred:

  • Experience in the tree care, landscaping, or green industry

  • Familiarity with NJ municipal tree removal permit processes

  • Bilingual

Compensation & Benefits

  • Pay

    • $24–$32/hour ($50K–$65K/year) based on experience.
